This policy explains how TIE Vault collects, uses, and protects your personal data, in line with the EU General Data Protection Regulation (GDPR). We know the documents you trust us with relate to your right to live in Spain — we treat them with the seriousness that deserves.
1. Who we are

2. What we collect

3. Why we can process it (lawful bases)
- Contract — to provide the service you signed up for (your account, vault, reminders, and any purchase).
- Consent — for processing the documents you choose to upload, including sensitive/immigration documents. You can withdraw consent at any time by deleting the document or your account.
- Legitimate interests — to keep the service secure and prevent abuse.
- Legal obligation — to keep records we are legally required to keep (e.g. payment records).
4. Who we share it with (processors)
We do not sell your data. We use a small number of trusted providers who process data on our behalf under data-processing agreements:

Some of these providers are based outside the EU/EEA (e.g. in the United States). Where that is the case, transfers are protected by appropriate safeguards such as the EU Standard Contractual Clauses.
About AI review: when you use an AI feature, the text or document images you provide are sent to OpenAI to generate the response. Only use it for documents you are comfortable processing this way.
5. How long we keep it
- Account and vault data — for as long as your account is active. Delete a document, or your whole account, at any time.
- After you delete your account, we remove your personal data promptly, except records we must keep by law (e.g. payment records, typically retained for the legally required period).
- Appointment-finder requests — kept only as long as needed to fulfil the request and for our records of the transaction.
6. Your rights
Under the GDPR you have the right to access, correct, delete, restrict, or object to the processing of your data, and to data portability. You can:
- Export your data — from your account, or by contacting us.
- Delete your account and data — from your account settings, or by contacting us.

You also have the right to lodge a complaint with your local data protection authority.
7. Security
Your documents are stored privately and are only ever accessible to you when signed in. We use encrypted connections (HTTPS), restrict access, and follow good security practice. No system is perfectly secure, but we take protecting your documents seriously.
8. Children
TIE Vault is intended for adults managing residency matters. A Family plan may include documents belonging to children in your household, added and managed by you as the responsible adult.
9. Changes
We may update this policy. We'll change the "last updated" date above and, for material changes, let you know.
